EFFICIENCY HQ — TERMS OF SERVICE
Version: 2026-11-04-v3
Effective date: 4 November 2026
1. Who these terms cover
These terms govern the Efficiency HQ application at https://app.rishabhbairwal.com and the workspace services provided through it. “Efficiency HQ”, “we” and “us” mean the operator of this application. “You” means the person using the service or the organization that person is authorized to represent. Our service and privacy contact is https://efficiency-hq.com/contact/. Select Other and identify your message as an Efficiency HQ application, billing or privacy request.
You must be at least 18 and able to enter into a binding agreement. If you create or manage a workspace for an organization, you confirm that you have authority to act for it. Accept these terms and acknowledge the Privacy Policy when creating an account or accepting a purchase. If you do not agree, do not create an account or place an order.
2. What the service provides
Efficiency HQ provides software for managing business workspaces, staff and customer access, tasks, time records, usage, reports, branding and related billing records. Features depend on your recorded included access or accepted plan, permissions, workspace status and the integrations actually configured for your workspace. A published feature does not give every account administrative access or create a paid entitlement.
The software does not itself supply or employ virtual assistants, guarantee sales or business results, or provide legal, tax, accounting or regulated professional advice. A workspace business remains responsible for the services it promises to its own customers.
3. Accounts and access
Provide accurate account information and keep your email address current. Use your own credentials, protect your password and verification codes, and notify us through the contact page if you suspect unauthorized access. Do not share a personal login to evade staff-seat or access limits. You are responsible for authorized activity in your account; this does not waive any rights you have concerning unauthorized or fraudulent activity.
Workspace owners control invitations, roles and access within their workspace. Staff and customers receive only the access granted to them. Administrators may remove access when a role or business relationship ends. Account recovery requires appropriate verification. We will not ask you to send a password, full payment-card number or secret API key through a support message.
4. Workspace access and staff seats
Choose an available workspace plan, create and verify your account, and review the accepted price and staff capacity before completing hosted checkout. Payment setup for collecting from your own customers is separate from your platform subscription. Customer-portal memberships do not consume staff seats. Pending invitations do not reserve a seat; capacity is checked when an invitation is accepted.
Existing complimentary workspace grants remain valid under their recorded terms, including their included staff capacity. They are not purchased subscriptions and do not convert automatically to a paid subscription or incur a charge. Any separate purchase requires your express acceptance. Creating additional workspaces follows the explicit workspace-creation policy shown in the application. A global administrator is not automatically a member of every workspace.
Authorized members may record complimentary service minutes through auditable manual allocation where their workspace permits it. These credits are not payment evidence and must not rewrite existing paid customer contracts.
Use fictional or appropriately minimized information for testing. Do not upload payment-card details, government identifiers, health records, confidential client material or other sensitive personal information merely to test a feature. Obtain permission before inviting another person or supplying their information. Send invitations only to intended participants, and protect copied invitation links.
5. Subscriptions and accepted contracts
The current payment environment is Stripe sandbox; no real-money collection is enabled. If a separately enabled future paid service is offered and you explicitly complete a real subscription purchase, you authorize the payment provider to charge the accepted recurring amount at the stated interval until cancellation takes effect. Monthly means the billing cycle recorded for your subscription. Any initial setup charge is a separate one-time item, not an additional monthly fee. Creating an account alone is not authorization to charge a card.
Review the effective date and amount before confirming a plan or seat change. Some increases may take effect immediately with a displayed adjustment, while reductions may be scheduled for renewal. The confirmation for the particular change controls. Failed payments may restrict paid functionality while the original payment or recovery operation is reconciled. We do not create a second charge merely because a confirmation screen is delayed.
Use the available billing controls to cancel renewal or contact support if you cannot access those controls. Cancellation normally takes effect at the displayed billing boundary; an immediate cancellation, when offered, is identified before confirmation. Cancellation does not erase a valid unpaid invoice. Statutory cancellation rights and any specific written refund commitment remain applicable. Contact support about a duplicate, incorrect or disputed charge; a request is not treated as an automatically approved refund.
6. Payment environment and independent businesses
At this publication, the platform payment connection is in Stripe TEST mode. A sandbox checkout is not a real charge, and a successful test payment is not evidence that real payment collection has been activated. Do not enter real payment-card details into a test checkout. Real-money collection requires a separately configured and verified live payment connection. We will identify the applicable payment environment when it is changed; these terms do not silently authorize a test transaction to become a real charge.
Platform subscriptions pay for Efficiency HQ workspace software. Payments that an independent workspace business collects from its own clients are separate transactions with that business under its own terms. That business is responsible for its merchant account, customer notices, taxes, services, cancellations and refunds. Integration requires an authorized connection to that business's own account. The platform's credentials are not a substitute for another business's merchant credentials.
7. Your content and responsibilities
You retain your rights in the customer records, documents, brand assets and other content you provide. You grant us permission to host, process, transmit and display that content only as reasonably needed to provide, secure and support the service and comply with applicable obligations. You must have the rights and permissions needed to upload content and to process personal information about your staff or clients.
Do not use the service to break the law, send unsolicited or deceptive messages, infringe rights, impersonate another person, introduce malware, access another workspace's data, bypass access or billing controls, or interfere with the service. Do not upload payment-card security codes, authentication secrets into ordinary notes, or regulated sensitive records unless an appropriate supported arrangement has been expressly agreed.
8. Integrations and communications
Third-party payment, email, SMS and domain services have their own terms, availability and configuration requirements. A saved connection or a successful submission does not guarantee final payment settlement, email inbox placement, SMS delivery or domain activation. We retain the status and history needed to investigate uncertain outcomes rather than blindly repeating an operation.
We may send account verification, recovery, security, billing and service messages related to your use of the application. Workspace businesses are responsible for the authority and preferences required for messages they send to their own recipients. These terms do not give blanket consent to unrelated advertising.
9. Availability, maintenance and suspension
We take reasonable care in operating the service, but do not promise uninterrupted access, error-free software, a particular business outcome or a service-level guarantee unless separately agreed in writing. Maintenance, incidents and third-party failures may affect availability. Keep appropriate independent copies of information that your business must retain.
We may restrict an account or a specific action when reasonably necessary to address a security threat, unlawful use, material breach, nonpayment or a legal obligation. Where reasonably practicable, we will explain the issue and provide an opportunity to resolve it. Restrictions do not authorize us to misstate financial history or discard legally required records.
10. Ending access and requesting data
You may stop using the service and request account closure through the contact page. Cancel recurring services separately using the applicable billing controls or support process; simply ceasing to log in does not cancel a subscription. Before ending a workspace, obtain the available reports or exports you need and coordinate with its owner.
Closure and deletion requests are verified and assessed against other users' rights, workspace instructions, accounting, security, dispute and legal retention obligations. Some records and backups may need to be retained after access ends. The Privacy Policy explains these distinctions. We do not promise immediate deletion of all financial or audit history.
11. Rights, responsibility and disputes
Our software, interface and service branding remain protected by applicable intellectual-property rights. Your subscription provides permission to use the service within your plan and these terms, not ownership of the software. Workspace branding tools do not transfer rights in a third party's trademark or content.
Each party remains responsible for obligations imposed on it by applicable law. Nothing in these terms excludes liability or limits consumer, privacy or other rights that cannot lawfully be excluded or limited. These terms do not impose mandatory private arbitration or prevent you from contacting an appropriate regulator or court.
Contact us first with enough information to investigate a concern. If it remains unresolved, applicable law determines the available remedies and the competent authority.
12. Changes and contact
We may update these terms as the service or applicable requirements change. The published version and effective date identify the current terms. Material changes will be communicated through the application or another appropriate channel and, where required, presented for acceptance. Changes do not retrospectively alter an accepted price or extinguish mandatory rights.
For application support, billing questions or a rights request, use https://efficiency-hq.com/contact/. Select Other and describe the issue in the message field. Include your account email and relevant workspace name, but never passwords, verification codes, full card details or secret keys. Read our Privacy Policy at https://app.rishabhbairwal.com/privacy.
